SharePoint Metadata: The Life of SharePoint Collaboration

Metadata, or simply the information about the information, is among the most crucial components of any collaboration software and document management system. Document metadata makes searching and indexing of electronic documents time efficient and accurate. Without metadata association, pulling up the right document can take hours of searching.
The role of metadata in SharePoint is simple. It provides an informal definition about the context of the document. The few word definition associated to the document allows SharePoint to crawl the content through the use of some keywords. Once documents are stored on the server and branded with the right metadata, searching for the documents will only take seconds. Despite playing a simple role, document metadata should not be neglected when uploading files to a SharePoint server.
SharePoint users must at all times consider adding metadata on their documents. Though there is no standard impose on how to associate a file’s metadata to its context, it is best that users use the best keyword that would summarize or define the context. Document metadata in SharePoint that are too far from the document’s context can generate irrelevant results thereby causing considerable effects in user productivity which eventually drag company outputs down.
The most important factor when adding document metadata in SharePoint is that the metadata must be relevant to the document. Using keywords such as “files”, “folders”, “meetings” and the likes may associate well with the documents they represent, but can be tricky to some. On the other hand, metadata should not be too long for users to easily comprehend and figure out the right keyword for the document they want to access.
Searching for the keywords “Document metadata sharepoint” in major search engines will definitely bring tons of guides for those still confused on what metadata to associate on their files. In addition, Microsoft SharePoint is not the only application that uses metadata to enhance its indexing and searching performance. Other applications also have their indexing backbone through metadata.

The meta data can be crucial when searching for the relevant file. The best way to do a primary search is by invoice reference number or document date I think. We are trying to customise our Sharepoint services.

Does SharePoint actually ingest file-embedded metadata from non-MS file formats? I am thinking of XMP, Iptc, ID3 etc.?
